From contract to invoice, via the project

You upload a contract: Pinnokio reads it, creates the project, records the work and prepares the invoices.

The situation

A construction company signs a contract that sets a schedule, a budget, teams and an invoicing method (fixed price, milestones, time spent or progress). A project has to be derived from it, the work done tracked and the right invoices issued at the right dates, without re-keying.

Five steps: a contract, a project, its tasks (some carried out by the agent), milestones, then draft invoices to approve.
Contract → project → tasks → milestones → draft invoices to approve.

What Pinnokio does

  1. 1

    Read the contract

You upload the contract: Pinnokio reads the parties, services, schedule, budget and the way to invoice (recurring, milestone, usage-based or progress-based).

  2. 2

Create the project and its tasks

The project, its phases and its tasks are created and linked to the contract lines; Pinnokio distinguishes what it can carry out from what falls to people.

  3. 3

    Record the work

Hours entered, milestones reached, measured progress, change orders to the scope.

  4. 4

    Prepare the invoice

For a construction site, the progress invoice is calculated cumulatively: progress × contract amount − already invoiced − retention − down payment.

  5. 5

    Approve and post

The invoice is presented to you with its amount; once approved, it is posted to the books.

The result

A structured project, assigned tasks, identified milestones, then invoices issued at the scheduled dates, consistent with progress, and posted to the books after your approval.

Limits and approvals

  • Ambiguities in the contract are flagged and submitted to the authorised person before continuing.
  • An invoice is issued only after your approval, with the amount displayed.
  • The contract must contain usable elements (schedule, budget, services).

Frequently asked questions

Does Pinnokio read my contract to create the project?

Yes. You upload the contract; Pinnokio reads its terms, creates the project and its tasks, identifies the due dates and prepares the invoicing. You approve.

Who decides what is invoiced?

You do. The project records the work and the contract sets the cadence, but the customer invoice is the single output and goes through an approval card that displays the amount.
